1. Who we are
Realty Stack is run by 1814629 Alberta Ltd (Brent Deptuck, REALTOR® at Real Broker) (“we”, “us”), in Edmonton, Alberta, Canada. We make three apps that work together as one product family:
- Mantel is for real estate agents. It holds the agent's client book, notes, letters, showing chats and renewal reminders.
- Hearth is for homeowners. It holds a record of the home, its rooms, photos, upkeep and costs.
- Remedy is for contractors and trades. It holds the business profile, jobs, quotes, invoices, expenses and mileage.
This policy covers all three apps and the Realty Stack website. It says what we collect, why, who helps us handle it, how long we keep it, and how to delete it.
2. What we collect, app by app
We collect only what is listed here. We do not use advertising or analytics tools, we do not read your contacts, and we do not collect an advertising ID. The only device identifier we store is your push notification token.
2.1 All three apps
- Name and email address, through your sign-in account.
- Your push notification token, so we can deliver notices you have allowed.
- Crash reports, when crash reporting is switched on in the app build: error details, the screen where it happened, and device and system version. We do not send your name, email or content with them.
2.2 Mantel (agents)
- The agent's own contact details.
- The agent's clients: names, phone numbers, home addresses, notes, mortgage renewal dates, and the letters and emails sent to them.
- Buyer intake answers the agent types in: pre-approval status, lender and budget.
- Showing chats with a client: messages, and the photos, short videos, voice notes, PDFs (a listing sheet or inspection report) and links the agent or the client adds. A voice note is recorded only when the agent taps record, and a video can carry its own sound.
- A payout email for referral rewards, if the agent sets one on the web.
- The Text buttons in Mantel open your phone's own Messages app. We do not send or record texts in the beta.
- We do not collect card or bank details or device location in Mantel.
2.3 Hearth (homeowners)
- Your home address.
- Photos, scans, short clips, inspection PDFs and floor plans that you add.
- Tax figures, and purchase and improvement records, that you enter yourself. Hearth does not link to a bank.
- Messages with your agent and with trades, including the photos, videos and PDFs you send in them, and notes on homes you have toured.
- Questions you ask the in-app assistant about your home record, and its answers.
- We do not read your phone's location in Hearth.
2.4 Remedy (contractors)
- Business profile: business name, phone, address, licence and insurance papers.
- Customers' names and addresses on jobs, quotes and invoices.
- Expenses, receipts, invoices, GST and tax figures, and bank transactions if you link a bank.
- Job photos and receipt photos, and messages in job threads.
- Trip location for the mileage log, described in Section 5.
3. Why we use it
- To run the app you chose and to keep your account secure.
- To let you and the people you choose see the records you share.
- To send notices and messages you have asked for.
- To find and fix crashes.
- To keep the records the law requires (Section 8).
We do not sell personal information. We do not use it for advertising.
4. Who helps us handle it
These companies handle information for us, only to provide the apps. We share data with them only as needed for the job listed.
| Company | What it does | What it receives |
|---|---|---|
| Clerk | Sign-in (identity). Email code, password, Google and Apple. | Email, name, sign-in identity |
| Convex | Database hosting and file storage | All app data, photos, receipts |
| Expo push service, then Google Firebase Cloud Messaging and Apple Push Notification service | Delivers push notifications | Push token and the account it belongs to |
| Plaid | Bank linking in Remedy, only if you link a bank | Your bank connection, handled through Plaid Link. We store the access token, encrypted. |
| Sentry | Crash reporting, when switched on in the build | Error traces, screen names, device and system version. No personal details are sent by default. |
| Anthropic, and as backups Google (Gemini) and OpenAI | AI that reads photos and PDFs, answers questions and drafts text: room analysis and the home assistant in Hearth; listing sheet and inspection report reading and letter drafts in Mantel. If the first service is unavailable the request goes to the next. | The photos, PDFs and text for that request: room photos and chat text in Hearth; listing sheets, inspection reports and letter details in Mantel |
| Groq | Fast AI for short text-only tasks | Text only. No photos or PDFs. |
| fal.ai and KIE.ai | AI image generation in Hearth, to draw renovated looks | Room photos and room details |
| Google Maps | Finds a home on a map from its address, and supplies street imagery and travel times | The home address |
| Google or Apple, on your phone | Turns trip coordinates into street addresses in Remedy | Trip start and end coordinates, handled by your phone's own service |
| Handwrytten | Prints and mails the letters an agent chooses to send | The recipient's name, mailing address and the letter |
| Vercel | Hosts the Realty Stack website and web app | Web requests and the pages you view |
| Resend | Sends email from Realty Stack (account and system email, and email an agent sends from the web app) | Recipient email address and the message |
| Google (Gmail API) | Sends email from an agent's own Gmail account, only if the agent connects it | The recipient and the message |
| Repliers | Supplies listing data to the agent web product | Search terms and listing identifiers |
| Lofty | Imports leads from an agent's Lofty account, only if the agent connects it | Lead details held in that account |
| Vapi | Runs voice calls for the agent web product | Phone number and call audio |
| ElevenLabs | Turns text into voice for voicemails in the agent web product | The script text |
| HeyGen | Makes short avatar videos for the agent web product | The script text and video settings |
| OpenAI | Turns recorded audio into text in the agent web product | The audio of a call, voicemail or video the agent chose to transcribe |
The last nine companies are used by the agent web product and our servers. The Mantel, Hearth and Remedy phone apps do not contact them directly. Email, voice and video features an agent uses from Mantel run through our servers and these providers.
Your agent or trade sees what you choose to send them, such as a photo or message. That is your choice, not a service provider.
5. Camera, photos and location
- Camera and photos. Mantel, Hearth and Remedy use the camera and your photo library only when you tap to take or add a picture or video. Hearth sends photos you take for room analysis to our AI services (Section 4), and room photos to fal.ai and KIE.ai to draw renovated looks. Remedy uses photos for jobs, receipts and credentials.
- Microphone. Mantel uses the microphone to record a voice note in a showing chat, and for the sound of a video filmed there, only when you tap to record. Hearth does not record sound: a video you take in Hearth is saved without audio, though a video you choose from your library keeps whatever sound it already has.
- Listing photos. When a home is set up from listing photos, we use them to build the home record. They are never shown to a third party.
- Location. Only Remedy reads your phone's location, and only while a trip you started is running and the app is open. We keep the distance, the times, and the start and end street addresses, not a route trail. Hearth uses the home address you type, not your location. Mantel uses no location.
6. Sending information outside Canada
Some companies in Section 4 store or process information outside Canada, including in the United States. Courts and authorities there can ask for access under their own laws. We use these companies only for the jobs listed and ask them to protect information to a similar standard.
7. How long we keep it
We keep your information while your account is open. When you delete your account, we remove what Section 8 says we remove. The rest is kept only for the reasons given there. Crash reports are kept by our crash reporting provider for a limited time under its own settings.
8. Deleting your account, and what remains
You can delete your account in the app or on the web.
- Hearth: Help, then Profile and sharing, then Delete my account.
- Remedy: Profile, then Delete my account.
- Mantel: Profile tab, then Delete account. If a paid plan is active, cancel it on the web first.
- On the web: see realtystack.pro/account/delete, or email us at the address in Section 13.
What is removed. In Hearth: the home record, rooms, plans, photos, looks, upkeep items, tax figures and receipts, shared items, toured homes, messages with your agent, and the agent connection. In Remedy: your profile and photo, credentials, expenses and receipts, bank-link records, jobs and photos, threads, drafts, mileage and tax records. In Mantel: your sign-in is removed, and if you are the only person in your workspace the workspace goes with it: clients, notes, messages, letters, drafts, files and settings. If others share the workspace, it stays with them.
What remains.
- In a shared Mantel workspace, its client records, notes and letters stay with the people who remain. Deals are kept with the address and notes removed, as a record that a sale happened.
- The consent log, which keeps a name and email only as proof that someone withdrew consent.
- The audit log. The row stays and the detail is redacted.
- Deals. Identifiers are removed, but the commission and tax record stays for six years, as Canadian tax law requires.
- The other party's records. A homeowner keeps the request, quotes, bills, review and job thread they had with a contractor (your name is shown as “Contractor”). A contractor keeps a record of a job a homeowner asked them to do. An agent keeps their own client file.
- Referral and credit payout records.
- A bank connection. We delete our copy of the bank-link record, but the connection may stay active on the bank-link provider's side until it is revoked. You can revoke it in your bank's settings, or ask us to.
A Remedy account cannot be deleted while a payout is still owed.
9. Your rights
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA), you can:
- Ask to see the personal information we hold about you.
- Ask us to correct it.
- Withdraw your consent. This may mean we can no longer provide some of the service.
- Ask us to delete it, subject to Section 8.
- Complain to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.
We reply within 30 days.
10. Commercial messages (CASL)
Under Canada's Anti-Spam Legislation (CASL), a commercial electronic message needs consent, says who it is from, and has a working way to stop it. In Mantel, the agent is the sender of letters and emails to their own clients. We do not send texts in the beta. We honour do-not-email and do-not-call choices, and we do not place calls during quiet hours (21:00 to 09:00 in the recipient's local time). Every email has a way to opt out (unsubscribe). Notices from us about your account are service messages.
11. Children
The apps are not directed at anyone under 18. We do not knowingly collect information from them. If you think a child has given us information, contact us and we will delete it.
12. Security and changes
Data travels over encrypted connections, and bank-link tokens are stored encrypted. No system is perfectly secure. If an incident puts you at real risk of harm, we will tell you and the regulator as the law requires. We will update this page when our practices change and change the date at the top. For a material change we will notify you in the app or by email.
